The Disney Concerts division of the Disney Music Group is seeking an experienced and organized Specialist to provide legal and business support to the Director, of Business Affairs and Legal Counsel and related Disney Concerts team members. We are looking for a bright, positive, detail-oriented and reliable self-starter who can support a trio+ of very busy attorneys over a wide range of concert-related matters. The successful candidate will have strong organizational, technical and interpersonal skills, and act as a first line of defense screening incoming concert booking inquiries, in drafting standard form contracts and to field routine contracts/FAQ-related questions from outside concerts partners. The candidate will also support the Disney Concerts team as a “hub” by coordinating with other Disney employees including team members from marketing & advertising, finance & accounting, invoicing and credit and collections divisions.
Creating long-form concerts license contracts from signed Material Terms Summaries;
Coordinating distribution and execution of concerts agreements to concert licensees and booking agent(s) and tracking the status of same in a contracts database;
Handling the execution of all concerts documentation with direct oversight of one of three (3) responsible attorneys and distributing same to relevant contract counter-party(ies);
Inputting and overseeing database contract summary information / quality control oversight on the accuracy of same in our concerts database system;
Fielding routine FAQ style contracts language questions from our concerts licensees; acting as a first line of defense for attorneys for all initial contract language negotiation inquiries;
Coordinating the approval and release of marketing materials upon licensee’s execution of a contract with Disney Music Group marketing counterpart;
Updating and distributing weekly and monthly booking status reports to various distribution lists;
Consolidating basic date clearance concert information for concerts not directly booked by our booking agent for forwarding to our concerts date clearance manager;
Overseeing ticket allocations and distribution, as well as merchandise comps for live events;
Periodically introducing concert licensees to pre-approved merchandise vendor(s) to coordinate and amplify merchandise sales at live concerts;
Reviewing concert marketing materials from a legal perspective, along with a DMG marketing team member, to ensure consistency and issue-spot for potential matters requiring further handling (e.g., music licensing, sponsorship approvals, etc.);
Research and respond to initial concert license requests from new licensees and internal Disney live events team members;
Tracking and distributing wire confirmations from concert licensees to ensure more timely payment processing and distribution of concerts marketing and orchestral materials;
Assisting SVP of Disney Concerts in ticket allocations and distributions for gala-style live events; and
Overseeing online web needs for www.DisneyConcerts.com and coordinating with internal marketing and tech team members to effectively communicate business affairs needs for website functionality and design.
Basic Qualifications :
This position requires teamwork with other assistants, attorneys, and senior executives in the legal department and beyond. Applicants should have strong interpersonal and written and verbal communication skills, a cooperative work style, routinely exercise sound judgment, a strong work ethic and a positive attitude with respect to problem solving.
Very strong expertise in Word; able to create, format and manage legal documents (e.g. concert licenses), tables and charts; using field codes and automated formatting, working with Word styles and quick parts, familiarity with track changes, redlining and comparing documents.
Strong Excel skills: knowledge and high comfort-level using Pivot Tables and creating charts from raw spreadsheet data in excel, using formulas and v-lookup function; filtering, etc.
Advanced knowledge of Outlook and folder sharing / file sharing techniques, filtering, searching, using rules, etc. to manage a large flow of email traffic in an organized method.
Exceptional organizational, prioritization and time management skills with the ability to execute against multiple, high-priority projects, with a keen attention to detail.
Highly organized, attentive to detail and strong proofreading skills.
Self-directed team player who prioritizes effectively, takes initiative and quickly adapts to changing events while maintaining a positive disposition.
Preferred Qualifications :
Prior major law firm experience strongly preferred; ideally background with a minimum of 3 years of experience in the legal industry, preferably in the transactional practice of a large law firm or multi-national corporate legal department, with at least 1 year of experience supporting a senior attorney or executive.
Prior licensing experience strongly preferred or other entertainment, media, or new media related experience.
Asian and/or European-focused language skills a plus, but not required.
Familiarity with Filemaker Pro and/or other database software greatly helpful.
