The Walt Disney Company’s Legal Department is seeking an experienced Executive Secretary to support the Associate General Counsel responsible for financial disclosure, corporate governance and related matters and to support the Corporate Secretary’s office. We are looking for a bright, positive, focused, organized, detail-oriented and reliable self-starter who can support (1) an attorney with responsibility for sensitive matters and complex administrative projects and (2) an office with a Vice President and three legal assistants that handle numerous filings in the US and overseas and maintain official corporate records. The successful candidate will have strong organizational and technical skills as well as strong interpersonal skills involving judgment and discretion in interacting with executives throughout the Company. The successful candidate must also have demonstrated the ability to exercise the highest level of ethics in connection with confidential information.

Responsibilities :

  • Interact with internal and external assistants, attorneys, legal assistants and other executives

  • Manage incoming and outgoing mail for the Associate General Counsel and for Corporate Secretary’s office, including filing minutes and related corporate documents

  • Maintain a database in Excel of over 700 individuals subject to corporate policies that changes on a weekly basis, including interacting with individual departments who provide information on persons contained in the database and managing quarterly deadlines with respect to notices to individuals in the database

  • Track numerous documents that are routed for signature by officers and directors of the various legal entities on a daily basis and follow up when necessary

  • Route and maintain original files for various regulatory filings, assorted state and local government filings, and minute book consents/minutes and their related files

  • Draft and file Section 16 filings

  • Make travel arrangements primarily for domestic travel, prepare and timely submit expense reports, draft correspondence and revise and redline documents, schedule meetings, manage calls, photocopy, assist with electronic distribution of materials and mailings, assist in maintaining a database of corporate entities including managing deadlines with respect to filings, maintain professional training records, time entry

This position requires team work with other assistants, attorneys, legal assistants and executives within and outside the legal department. Applicants should have a cooperative work style, routinely exercise sound judgment, a strong work ethic and a positive attitude with respect to problem solving.

Basic Qualifications :

  • A minimum of 5 years experience supporting a senior lawyer or executive.

  • MS Office, Outlook, Excel, PowerPoint, iOS apps, SAP Workplace and Adobe Acrobat

  • Ability to write clearly and communicate well both orally and in writing

  • Well organized

  • Attention to detail and accuracy

  • Sound and mature judgment on the prioritization of tasks

  • Strong interpersonal skills including ability to work effectively as a part of a team, anticipate needs, seek guidance when appropriate and manage demands from multiple sources

  • Self-starter with the ability work independently

Preferred Qualifications :

  • Experience supporting senior attorney or executive in an in-house function.

  • Paralegal experience would be a plus.

  • Blue Print/One World or other corporate entity database

  • Familiarity with electronic document management systems

  • Experience with BoardVantage

Required Education :

Bachelor’s Degree from college or equivalent work experience
