The Walt Disney Company Secretary IV, Music in Burbank, California

The Walt Disney Studios encompasses the creation, production, promotion, sales, acquisition and domestic and international distribution of live-action and animated motion pictures, home entertainment releases, live stage plays, and music and soundtrack recordings.

The Disney Music Group is seeking a Secretary IV, Music to provide administrative support to the head of DMG Business Affairs and Disney Concerts in all day-to-day activities with regards to running Disney’s concerts business, overseeing the Business Affairs department, negotiation and documentation of contracts, preparation of presentation materials including, but not limited to, heavy phones, coordinating busy executive scheduling matters, processing and creation of contracts and correspondence, and organizing and filing of all paperwork and digital correspondence.

Responsibilities :

  • Assist with preparation of simple contract summaries of contracts and rights and use of various assets.

  • Schedule of meetings and conference calls

  • Handle correspondence

  • Prepare expense reports

  • Maintain organized, up-to-date business and legal files

  • Prepare presentation materials (eg, PowerPoint decks, etc.)

  • Respond to emails

  • Photocopying, faxing, general office duties

  • Ability to trouble-shoot computer software problems and interface with the computer help desk

  • Assist with special projects (including tracking rights, payments and intellectual property uses) as needed

  • Other duties as required

Basic Qualifications :

  • PC knowledge – Highly Proficient with Microsoft Word/Outlook/Adobe/PowerPoint (current versions), Proficient with Excel.

  • Strong attention to detail and thinking ahead; excellent follow-through skills

  • Strong organizational and filing skills

  • Excellent written, verbal and interpersonal communication skills to assure successful interaction with all levels of employees and external contacts

  • Demonstrated ability to effectively and professionally interface with high level executives, clients, business contacts, associates and employees

  • Demonstrated ability to prioritize, meet deadlines, and follow instructions.

  • Ability to work effectively in a team environment

  • Ability to handle confidential and sensitive information

  • Ability to exercise good judgment and use discretion

  • Ability to work with limited supervision

  • A self-starter with high-level ability to anticipate issues and proactively problem solve

  • Proven experience in multi-tasking and working with multiple people and priorities

  • Ability to manage time wisely and prioritize effectively in a fast-paced environment

Preferred Qualifications :

• SAP experience desired

• Minimum 2 years administrative support experience within entertainment, and/or entertainment legal preferred.

• Knowledge of the entertainment industry and key players.

• Strong organizational and independent problem solving skills.
