The Walt Disney Company Sales & Banquet Billing Coordinator in Kapolei, Hawaii

The Sales, Catering and Convention Services, and Banquet/Luau Team handles all group events, weddings, Disney catered events and Banquet and Luau operations at Aulani, A Disney Resort and Spa. The Sales & Services team acts as the primary contact for the client and is responsible for planning all event details including managing contractual obligations. In addition, this team serves as the liaison to other value-chain companies such as Disney preferred vendors and Destination Management Companies. The Sales & Services team is also the on-site contact for the events and luau to ensure that outstanding experiences are delivered.

Responsibilities :

  • Acting as a large party Luau Sales Coordinator for groups of 25 or more guests and group buyouts at KA WA’A Luau. This will include facilitating site inspections for potential clients, acting as an on-site contact for large party groups/mix-ins, preparing and executing large party booking contracts, and coordinating with all other partners to ensure a successful luau experience.

  • Responsible for the processing and posting of all luau/banquet charges and gratuity payments on a daily/weekly basis.

  • Processing invoices through SAP and reconciling vendor payments against the BFS (charge to client), while acting as a liaison with the appropriate billing teams at DLR/WDW to make adjustments and ensure accurate reconciliation.

  • Create, maintain, file, and store documents related to billing, gratuities and vendor invoices.

  • Handle client issues and concerns with leader guidance.

  • Provide back up support to other Sales Assistants and Coordinators.

Basic Qualifications :

  • Experience working in event billing, sales administration or related

  • Proficient in computer software - Excel, Word, Outlook, PowerPoint

  • Must be detail oriented and have the ability to exercise judgment on own work

  • Ability to make decisions

  • Strong organizational skills with attention to detail

  • Partnering and networking skills

  • Strong facilitation and presentation skills

  • Demonstrated verbal and written communication skills, as well as telephone etiquette skills

  • Experience in business planning

  • Strong negotiating and influencing abilities

  • Demonstrated ability to share creative and new ideas

Preferred Qualifications:

  • 3 years of related work experience

  • Experience in financial reporting

  • Prior resort operations or food and beverage experience

Required Education :

Associates degree or equivalent years of experience
